Rental Policies & Procedures

Please read through all the policies carefully and contact us with any questions.
1Hours
- Equipment can be picked-up or returned during regular office hours Monday through Friday 9:00 am - 5:00 pm. Let us know your specific needs beyond business hours as we can sometimes accommodate. After-hour fee's may apply. In case of emergency, pleas send us an email.
2Orders
- Confirmed orders not canceled prior to 2:00 p.m. the day before the scheduled rental will be subject to cancellation charges.

- If we are holding an order for you and a conflict arises, you will be given the opportunity to confirm or cancel the order. •Please give us as much notice as you can of your potential needs and changes in your order.

- Rates are listed on a per day Rate. For a week rental we offer 3 days rental rate (3x the posted price for one week). Weekend rentals are billed as one day.

3Check Out & Return
- Equipment may be checked out after 3:00 on a business day just prior to your rental date, subject to availability (ie your gear may also be coming back from another job and not yet available at 3:00pm on the day prior to your rental).

- Gear must be returned by 10:30 the morning after your last day of rental or additional charges may apply. (we may need to "flip" your equipment onto another job and if your late then it can cause problems for the next job).

- Early pick-ups or late returns need to be cleared in advance.
4Insurance
- Prior to check out, you must provide a certificate of insurance naming Dc-Camera as the "Loss Payee" and or "Additionally Insured". The coverage must be "equal to" or "above" the replacement cost of all equipment rented. Our quotes tally the replacement costs.

- You may rent gear without insurance if the total value of the kit ordered is below 5,000 dollars. This possible waiver is at our discretion and does not absolve you from responsibility toward the loss/damage of equipment. We also offer a damage waiver at 12% of the rental rate.

- You acknowledge that you have examined and tested the rented equipment and assume full responsibility for its safekeeping, and return in the same condition.

- The rented equipment is leased without warranty or guarantee of any kind for the performance or non-performance of said equipment.

- If any equipment is damaged, lost, stolen, or not returned, you will be liable for the repair, or replacement costs. Daily rental rates will apply until the equipment is repaired, or replaced.
5Payment & Billing
- New customers will open a C.O.D. credit card account by submitting the forms located under the Rental Forms tab at the top of this page. Please establish this account at least 5-7 working days prior to the check out of equipment. Established customers in good standing may apply for Net 30 credit terms by completeing additional Supplier Forms. Please begin this process at least 10 working days prior to check out.

- We accept Visa/Mastercard & American Express or cash. Checks are preferred from Net30 customers.
- All rental and sales charges are subject to current Virginia sales tax, unless a valid tax-exempt or re-sale certificate as issued by Virginia has been provided prior to invoicing. Exemptions granted by other states will not be accepted.
